- Sending out feedback surveys after your event 10 Tips to help you with Event Management: 1. Set out your goals - start by writing down your goals for the event. Make the goals as specific as you can. Think about what you want to achieve with this event? For example, do you want to attract more members to your club? 2. Plan ahead - you can start planning up to a year in advance so that you can choose your venue and take advantage of any discounts in venue hire. If you have your own venue then you may not need to start so early. Make sure you give yourself enough time to organise your event. 3. Negotiate with suppliers - Every event is different - suppliers understand this. Instead of asking for a quote - figure out how much you are willing to pay and then offer the supplier between 5-10% less. This way, if the supplier negotiates to a higher price you can stay within your budget or even save money. 4. Contact people in your network - event management is all about networking. Stay in close contact with the venues and suppliers you prefer to work with. When you need them, they will be there for you. Keep former colleagues and volunteers close too. Build effective staff and volunteer teams quickly by mobilising your existing social network. 5. Use technology - There are some great tools you can use on the internet. You can try using a free survey website (surveymonkey) to survey your members about the event or try using an event tool (Eventbrite) to advertise and issue tickets to your event. Make sure you have someone on staff who knows how to use any technology you choose. 6. Rehearse your event - Schedule a rehearsal with staff, volunteers and if possible any presenters about a week before the event. Make sure you test all technology during the rehearsal. This should give you enough time to make any changes to the event if they are needed. 7. Listen to participants - The key to managing a great event is understanding the participants's experience. Make sure you listen to participants on the day of the event as much as is possible. Talk to people. Collect data with feedback surveys completed at the event or shortly after it. 8. Learn from the event - Take some time to debrief with your team after the event. These sessions are a great way to get people's impressions and suggestions while the event is still fresh in their minds. 9. Follow up - Follow up with an email a week after the event - you can include a feedback survey to ask questions and provide a space for comments. Consider emailing participants, staff and volunteers as separate groups to get their feedback. 10. Make changes - Put what you have learnt into action by making positive changes after each event. Review feedback you receive from participants , staff and volunteers to help sort out any issues with your event. Improving your event management will allow your events to deliver a more meaningful experience for all involved.
